Can AI Really Act as Your PA?

An AI personal assistant is becoming realistic for small businesses, but it is usually a combination of Microsoft 365, Copilot, meeting tools and carefully bounded automation rather than one magic product.
Yes — increasingly there is. But buying a product labelled “AI PA” is probably the wrong place to start.
If your business already uses Microsoft 365, much of the underlying capability may already exist across Outlook, Microsoft 365 Copilot, SharePoint, Teams, Power Automate and Copilot Studio. The bigger question is not “which AI PA should I buy?”

What jobs do I actually want an AI PA to do, what information should it be allowed to see, and what should it be allowed to do without asking me?
An AI personal assistant for business is becoming realistic, but it is usually a combination of existing tools, good information management and carefully bounded automation rather than one magical subscription.
What would an AI PA actually do?
A useful AI assistant for business might eventually help with several familiar PA jobs:
- Give you a morning briefing covering meetings, important emails, deadlines and outstanding actions.
- Read incoming email and classify it as urgent, needs you, delegate, FYI or low priority.
- Draft email replies in your normal style.
- Suggest meeting times and help prepare diary responses.
- Prepare meeting agendas using relevant emails, documents and previous notes.
- Transcribe meetings, summarise the discussion and identify decisions and actions.
- Draft follow-up emails after meetings.
- Create Word documents and proposals from approved templates.
- Find information buried in old email, SharePoint, OneDrive and Teams.
- Turn emails and meetings into tasks, reminders or follow-ups.
- Chase people about overdue actions using an approved workflow.
- Eventually interact with CRM, accounts and other business systems.
Not every business needs all of this. A good first project might be a daily briefing or a meeting-notes workflow, not a fully autonomous assistant with access to everything.
If you already use Microsoft 365, start there
Microsoft 365 already contains much of the business information an AI assistant would need:

Microsoft Copilot can help users work with email, calendars, meetings, documents and organisational information in supported Microsoft 365 contexts. Exactly what is available depends on licensing, configuration and the product experience being used.
Do not assume that every Microsoft 365 subscription includes every Copilot capability. Licensing changes regularly, so check current Microsoft licensing before buying anything.
Microsoft continues to expand Copilot and agent capabilities. That does not mean every feature described in a roadmap, preview or release plan is available in your tenant today.
Copilot is the assistant. An agent is where it gets more interesting.
The boundary between products is changing, but this is a useful plain-English distinction:

Microsoft Copilot Studio is one platform for building and managing these kinds of agents. Microsoft describes its agents as AI-powered assistants that understand business context and take action on a user’s behalf. Its tools documentation also makes the important point that tools are external capabilities an agent can invoke.
A business owner might define rules such as:
- Emails from these customers are always priority.
- Never send external email without approval.
- Diary changes under 30 minutes can be suggested automatically.
- Anything mentioning complaints, contracts, payments or legal issues must be escalated.
- Every morning, create a briefing of today’s meetings, important messages and overdue actions.
Power Automate can be part of the workflow around an agent, including connecting business events to actions. Treat capability and availability as something to verify in your own environment rather than assuming a feature is included or generally available everywhere.
Where does Granola fit?
Meeting transcription is a specialist job, and it is often better to use a specialist meeting assistant than to make a general AI assistant responsible for capturing every conversation.
Granola is one example. Its own website describes an AI notepad that captures meeting audio locally on the device, combines what was heard with the notes a person took, and produces clean, editable notes. It says the audio is deleted and that the user decides what is shared.
Tools in this category can capture or transcribe meetings, produce summaries, identify actions, provide searchable meeting memory and reduce manual note-taking. Granola is an example, not an IT Club endorsement, and its current behaviour, privacy terms and integrations should be checked before use.
One possible architecture
Microsoft 365 handles email, diary, documents, identity and company information. A meeting assistant handles capture and notes. An AI agent handles rules, workflows and actions.
The most important part: permission boundaries
An AI assistant with access to someone’s email, calendar and business documents can potentially see a significant amount of sensitive company information. Before automation, decide four separate things:

Use a staged adoption model:
READ → RECOMMEND → DRAFT → APPROVE → ACT
Only automate actions once the organisation is comfortable with the earlier stages. A tool being technically able to take an action does not mean it should take that action without a person checking it.
Microsoft’s agent tooling is developing quickly, including ways for agents to use tools and participate in Power Automate workflows. Do not assume that a product’s general agent capability supplies the human approval policy your business needs. Define those boundaries explicitly and test them.
AI will not fix a bad Microsoft 365 setup
If the business uses Microsoft 365 as little more than Outlook plus random Word and Excel files scattered across laptops, introducing AI agents will not magically create good information management.
AI does not magically fix a disorganised business. It can automate the disorganisation remarkably efficiently.
Before building an AI PA, check:
- Is company information stored in sensible locations?
- Is SharePoint or OneDrive being used properly?
- Are permissions correct?
- Are old staff accounts removed?
- Is MFA in place?
- Are calendars used consistently?
- Are documents named and stored sensibly?
- Are there agreed processes for tasks and follow-ups?
WHAT IS MICROSOFT GRAPH?
Microsoft Graph is not a database
It is Microsoft’s API layer that lets authorised applications and services interact with Microsoft cloud information and services, including users, mail, calendars, files and Teams-related data.
For many SME AI PA projects, explore standard Microsoft connectors, Copilot Studio and Power Automate before building custom Graph integrations. Graph becomes useful when the workflow goes beyond what the standard tools provide.
What should a small business do first?
- 1Write down what your real PA would actually do.
- 2Identify where the relevant information currently lives.
- 3Decide what the AI can read and what requires approval.
- 4Check what your existing Microsoft 365 licences and tools already provide.
- 5Pilot two or three useful workflows before attempting full automation.
Good first pilots include a morning business briefing, email triage with draft replies, or meeting transcript → actions → follow-up draft. These are measurable and relatively low risk when the output is reviewed before anything consequential happens.
Do you need to replace a human PA?
AI is currently strongest at repetitive administration, summarising information, finding information, drafting, reminders and structured workflows.
Humans remain better suited to judgement, relationships, ambiguous requests, sensitive conversations, negotiation and knowing when not to follow the process.
The more realistic model
For many businesses the more realistic model is not AI instead of people. It is AI removing routine administration so people spend more time on work requiring judgement.
The bottom line
Yes, an AI PA is increasingly realistic. But do not start by shopping for an “AI PA”.
If you already use Microsoft 365, start by understanding what you already own, organise the information properly, define the permission boundaries and then automate a small number of genuinely useful tasks.
A sensible progression
MICROSOFT 365 FOUNDATIONS → COPILOT → MEETING INTELLIGENCE → AI AGENT → AUTOMATION
The clever bit is not buying another AI subscription. It is deciding what you actually want the assistant to do.
