Microsoft Is Combining Its Copilot Apps — What Changes for You?

Microsoft's updated Copilot app brings personal and work entry points closer together while keeping account boundaries, permissions, privacy commitments and licensing separate. This practical guide explains the terminology, what may change for consumers and businesses, which features are retiring, and what administrators should check.
Microsoft is trying to make Copilot feel less like a collection of separate products and more like one assistant with one front door. That is a sensible response to a confusing user experience: Copilot appears in a standalone app, Microsoft 365, Edge, Windows, Teams, Outlook, Word, Excel and other places, often with similar names but different capabilities.
The danger is assuming that a simpler app means a simpler underlying service. It does not. Microsoft’s August 2026 guidance says you can sign in to the updated Copilot app with a personal account, a work or school account, or both. It also says work and personal accounts remain separate, with organisational security, privacy, compliance and administrative controls continuing to apply to work or school use.
One app does not mean one account, one data pool, one licence or one universal Copilot experience.
The Quick Answer
For most people, the immediate change is a new front door: a refreshed Copilot app that brings chat, image creation and Microsoft 365 entry points closer together. Your account and the product behind it still matter.
- Personal Copilot history and eligible content may be consolidated within the personal experience.
- Personal Microsoft accounts and work or school Microsoft Entra accounts remain separate; data does not flow between them.
- A work user may see Copilot Chat without having the full Microsoft 365 Copilot add-on.

- The 18 August 2026 consumer update is rolling out in waves: Group Chat, Podcasts and Deep Research are being retired, while Mico and Copilot Labs are also changing.
- Businesses should treat the app update as a user-experience change first, not as permission to move confidential data into a new AI workflow.

What Microsoft is actually combining
Microsoft describes the updated app as a more cohesive experience combining Copilot chat and image creation with access to Microsoft 365 apps, files and content. The aim is to let a user move from a conversation to Word, Excel, Outlook or another Microsoft 365 destination without first deciding which Copilot-branded app should be opened.
That is a front-end and navigation simplification. It is not a declaration that Microsoft has replaced every Copilot product with one licence, one model, one privacy policy or one data store. Microsoft still documents separate experiences according to the identity used, the type of subscription and whether the response is grounded in the public web, uploaded content or organisational data.

The account switcher is a boundary, not a merge
A person may use Copilot at home and at work on the same laptop or phone. The updated app is designed to make switching between those accounts easier. That convenience can look like one combined identity, but it is better understood as one interface containing separate doors.

Before entering customer, employee or commercially sensitive information, check the account indicator. The familiar Copilot icon is not proof that the work tenant is active.
Microsoft says personal content can be brought together when a user has used more than one linked personal account. That is a personal-account consolidation story. It must not be read as permission for personal Copilot history to join a company tenant, or for work data to appear in the personal experience.
The names are still confusing — here is the useful version
Microsoft’s current documentation uses several labels. Some pages describe the market as free Copilot, individual Microsoft 365 plans and business plans. The Microsoft Learn overview now explicitly uses Copilot Chat (Basic), Microsoft 365 Copilot (Basic) and Microsoft 365 Copilot (Premium) to describe work experiences by grounding, app access, licence level and service capacity.
Treat those labels as a map, not as a promise that the wording in your app, admin centre or invoice will be identical. Microsoft 365 Copilot Business is still a useful business-facing description, but the entitlement that matters is the exact licence assigned to the user and the tenant configuration behind it.

Capability follows the account, licence and data
Two colleagues can open what looks like the same Copilot app and receive different results. One may be using the free personal experience. Another may have Copilot Chat through an eligible business subscription. A third may have the full Microsoft 365 Copilot add-on and automatic access to permitted work context.

Microsoft says Copilot respects existing permissions when it grounds responses in organisational content. That is helpful, but it also means the quality and safety of the result depend on the permissions that already exist. If a SharePoint site is overshared, a more convenient AI front door can make that oversharing easier to discover.
What businesses should know about Copilot Chat
Copilot Chat is the important business distinction. Microsoft describes it as an enterprise-ready chat experience included with eligible Microsoft 365 licences. It is primarily web-grounded and protected by Enterprise Data Protection when the user signs in with an organisational Entra account.
Without the full add-on, a user should not assume that Copilot Chat can automatically search their entire company. Microsoft’s current overview says users can provide organisational content by uploading or selecting files, using open content in supported apps or using a pay-as-you-go agent with access to organisational data. Automatic Microsoft Graph grounding is associated with the fuller Microsoft 365 Copilot experience.
This is why “Copilot is available” is not a sufficient rollout statement. The business needs to say which Copilot, for which users, with which data, using which controls and with which approval boundary.
Privacy: the account matters more than the icon
Microsoft’s consumer privacy guidance and its work or school enterprise-data-protection guidance are not the same document because they are not the same service boundary. Consumer users should follow the personal-account privacy controls and should not treat a personal conversation as a company-managed record.
For work or school accounts, Microsoft says enterprise data protection applies to prompts and responses. It also says work Copilot does not use prompts, responses and data accessed through Microsoft Graph to train foundation large language models. Web search is a separate path: a query sent to Bing has its own data-handling practices and may be governed by a separate administrator setting.

What is retiring or changing?
The updated consumer experience is not a simple feature addition. Microsoft’s support page says some existing features are retiring as the experience changes. The dates matter because a user may assume that content will move with their ordinary chat history when it will not.

Consumer Deep Research and Microsoft 365 Researcher are not automatically the same feature. Similar names do not prove identical account, licence, data or retention behaviour. Mico moving to Learn Live is not the same as Copilot Voice being retired.
What administrators can control
Microsoft’s Copilot Control System and related admin settings provide controls over the work experience. Depending on the tenant and licence, administrators can manage Copilot Chat access, pinning, web search, image creation, agent creation and lifecycle, and usage reporting. Basic tiers have basic usage management controls and reporting; the Premium tier adds advanced management controls and analytics. Microsoft also documents a route to remove Copilot Chat access entirely for an organisation.
That does not mean every setting is available in every tenant or that one switch controls every Copilot-branded product. GitHub Copilot, Microsoft Security Copilot, Copilot Studio and product-specific Copilots are independently licensed or managed routes. A business should inventory them rather than assume the Microsoft 365 Copilot settings cover everything.
- Confirm which users have Copilot Chat, Microsoft 365 Copilot or another Copilot product.
- Check that users are instructed to sign in with the work or school Entra account for work use.
- Decide whether Copilot Chat should be pinned, discoverable or removed for particular groups.
- Review the Allow web search in Copilot policy and the information that can leave through web grounding.
- Review agent creation, installation, sharing, pay-as-you-go billing and external connectors.
- Review SharePoint, OneDrive, Teams and mailbox permissions before enabling automatic work-data grounding.
- Confirm retention, audit, Purview and incident-response expectations for prompts and responses.
- Give staff a clear route for reporting a wrong answer, unexpected data exposure or a personal-account mix-up.
The IT Club Copilot Check
Before a business calls the new app “rolled out”, ask these questions for a real user and a real task. A useful answer names the account, licence, data, capability and control rather than stopping at the app icon.
- 1Identity — Is the user in a personal Microsoft account or the organisation’s Entra tenant?
- 2Licence — Is this free Copilot, an individual Microsoft 365 plan, Copilot Chat, Microsoft 365 Copilot Basic or Microsoft 365 Copilot Premium?
- 3Data — Is the answer based on the public web, uploaded content, open app content or automatically retrieved work data?
- 4Capability — Is the user asking for chat, drafting, analysis, an agent, a connector or an action in another system?
- 5Permission — Could the user already access every file or record that Copilot might retrieve?
- 6Control — Can the business manage access, web search, agents, retention, audit and leavers?
- 7Consequence — What must a human check before the output is shared, sent, published or used to make a decision?
- 8Evidence — Can the business show which plan, policy and source were in force when the workflow was approved?
Start with a low-consequence task, such as summarising a deliberately selected internal document into a draft. Do not begin with unrestricted mailbox access, automatic external messages, financial changes or an agent that can delete or alter records.

A simpler Copilot entry point may reduce confusion, but it can also make AI adoption feel like an ordinary software update. Employees may still be using a personal Copilot account, a work Copilot Chat account, a browser assistant, a meeting tool or a specialist app with its own AI feature.
Do not respond with a vague ban and assume the problem has gone away. Ask teams what they are already using, which tasks it helps with and what information is involved. Then provide an approved route that is genuinely useful. The goal is to make the safe choice easier, not to make unofficial use invisible.
The Copilot Operational Heartbeat
Review after the app stops being news
The important question is not whether the new Copilot app has arrived. It is whether the organisation still understands who is using which Copilot, with which data and authority.
- New Copilot surfaces, features, agents and connectors in use
- Personal-account use discovered on business devices or for business data
- User licences, inactive accounts, leavers and shared identities
- SharePoint, OneDrive, Teams, mailbox and external-sharing permissions
- Copilot Control System settings for access, pinning, web search, images and agents
- Prompt and response retention, audit events, Purview coverage and incident evidence
- Incorrect outputs, unexpected data retrievals, failed actions and human approvals
- Microsoft product, licence, privacy, rollout and retirement notices
Review the list at least quarterly and after a material Microsoft update, licence change, new connector, new agent or change in the data being processed. Give each approved workflow a named owner and a stop button.
The bottom line
Microsoft is right that Copilot has become confusing. A common app can make it easier for people to find the right starting point and move between chat, files and Microsoft 365 tools. But simplicity at the surface increases the importance of explaining what sits underneath.
For a home user, check which personal subscription and account is active, export content from features that are retiring and expect usage limits to vary. For a business, keep the boundary explicit: the work account is not the personal account, Copilot Chat is not automatically the full Microsoft 365 Copilot experience, and a licence does not repair oversharing or remove the need for human judgement.
The useful question is not “Do we have the Copilot app?” It is “Which Copilot experience is this person using, what can it see, what can it do, and who remains accountable for the result?”
