Business AI Audio and Podcast Checklist

Planning to convert a report, document or research into AI-generated audio? Use this checklist before uploading the material or sharing the result. Covers source rights, data handling, generation, review, disclosure, distribution, retention and archiving — with notes on Google NotebookLM, Spotify Personal Podcasts and Microsoft Copilot Podcasts.

AI-generated audio tools can convert documents, research and links into personalised spoken briefings. Before uploading material or sharing the result, work through this checklist to confirm source rights, data handling, accuracy, disclosure and retention.

A convincing voice does not guarantee an accurate explanation. Every important claim should be checked against the original source.

Source

  • Confirm you have ownership or permission to process the material through an AI tool.
  • Keep the original source documents — they are the authoritative record.
  • Check that any website links or external sources are current and accessible.

Data and Privacy

  • Remove confidential information — customer data, contracts, financial records, board papers, legal advice — before uploading.
  • Remove personal data where it is not necessary for the purpose.
  • Use an approved business account rather than a personal consumer account.
  • Check data-processing terms, retention periods and model-training settings for the account type in use.

Turning a confidential document into convenient audio does not make the document less confidential.

Generation

  • Define the intended audience for the audio before generating.
  • Define the purpose the audio needs to serve.
  • Request a clear topic focus — use customisation options where available.
  • Avoid presenting the audio as official advice, authoritative guidance or a formal record.

Review

  • Check all names against the original source.
  • Check all dates and figures.
  • Check direct quotations and attributed statements.
  • Check conclusions and recommendations.
  • Return to the original source for any claim that will inform a significant decision.

Fluent conversation can conceal weak analysis. A natural-sounding explanation is not the same as a correct one.

Disclosure

  • Clearly identify the content as AI-generated to any audience.
  • Identify that the voices are synthetic — not recordings of real people.
  • Provide links or references to the original source material so listeners can verify claims.

Distribution

  • Define who is permitted to access and listen to the audio.
  • Check sharing permissions and whether shared links can expire or be revoked.
  • Prevent unauthorised public distribution of audio generated from confidential or copyright-protected material.

Retention and Archiving

  • Download the audio file where the platform permits.
  • Store an approved version in a managed location outside the provider's platform.
  • Record the creation date and keep the source documents used.
  • Do not rely on the provider as permanent storage — features can be retired without notice.

If the audio matters, keep an approved copy outside the experimental feature where the terms allow it. Microsoft's retirement of Copilot Podcasts on 18 August 2026 shows how quickly a feature — and its content — can disappear.

When Not to Rely on Generated Audio Alone

Do not use generated audio as the sole source for legal advice, medical guidance, financial decisions, tax instructions, regulatory obligations, health and safety procedures, disciplinary matters, emergency instructions, contracts or formal company policy. These require qualified people and original authoritative documentation.

Key Questions Before Using Any AI Audio Tool

  • Can the audio be downloaded as a portable file?
  • What happens to the content if this feature is retired?
  • Are the data-processing terms confirmed for the account type in use?
  • Has an accuracy review been completed before sharing?
  • Is the AI-generated nature disclosed to all listeners?
  • Are the original source documents retained separately?

Plain-English Takeaway

A natural-sounding audio discussion can still contain missing context or incorrect conclusions. Check every important claim against the original source, protect confidential information, disclose AI voices and retain important audio outside experimental platforms.
