Business Wi-Fi Upgrade Checklist
A systematic checklist for business owners and IT leads planning a wireless network upgrade. Covers requirement definition, current Wi-Fi, client devices, internet, wired network, cabling, access-point design, security and the upgrade decision.
This checklist is for business owners and IT leads planning a wireless network upgrade. Use it before choosing an access-point standard, requesting quotes or approving a proposal. The most common Wi-Fi upgrade mistake is buying new hardware before diagnosing the actual problem.
A faster access point cannot fix a slow internet circuit, poor cabling or bad wireless design.

Requirement
- □ Define the business problem — what is actually not working?
- □ Record user complaints and affected locations
- □ Identify high-demand applications and workloads
- □ Define the expected network lifespan
Current Wi-Fi
- □ Record access-point models and Wi-Fi generation
- □ Review wireless coverage — are there known gaps?
- □ Review congestion — does performance drop when the office is busy?
- □ Review firmware — is it current and supported?
Client Devices
- □ Inventory laptops — record Wi-Fi generation and 6 GHz support
- □ Inventory phones and tablets
- □ Record which devices support Wi-Fi 7 or Wi-Fi 6E
- □ When will devices be replaced? Will replacements support Wi-Fi 7?
Internet
- □ Record contracted broadband or leased-line speed
- □ Test actual WAN performance — is the internet circuit the bottleneck?
- □ Check firewall throughput — can it pass multi-gigabit traffic?
If broadband is the bottleneck, a Wi-Fi upgrade will not improve internet speed.
Wired Network
- □ Record switch models and port speeds
- □ Check for multi-gigabit (2.5 GbE or faster) ports
- □ Check PoE standard (PoE, PoE+, PoE++) and total PoE budget
- □ Check uplink capacity between switches
Cabling
- □ Identify cable category — Cat 5e, Cat 6 or Cat 6A
- □ Test any cable runs expected to carry 2.5 GbE or faster
- □ Do not replace working cabling before testing it
- □ Cat 5e may support 2.5GBASE-T — test before assuming it cannot
Wireless Design
- □ Review access-point positions — survey before upgrading
- □ Review wall construction and signal propagation
- □ Consider whether 6 GHz requires additional AP density
- □ Review interference sources and channel utilisation
- □ Review user density and location — open-plan vs enclosed rooms
6 GHz adds capacity but has shorter range. More access points may be required compared to 5 GHz.
Security
- □ Confirm WPA3 support on planned access points and key clients
- □ Verify guest network is correctly isolated — separate VLAN
- □ Confirm IoT devices are on a separate SSID and VLAN
- □ Confirm management access is protected and restricted to trusted networks
- □ Confirm firmware update process is defined and owned
- □ Review RADIUS or PSK authentication method for the environment
Decision
- □ Fix existing design problems before choosing a wireless standard
- □ Compare Wi-Fi 6, Wi-Fi 6E and Wi-Fi 7 against identified requirements
- □ Calculate total upgrade cost — access points, switches, cabling, PoE
- □ Confirm client benefit — how many devices currently support Wi-Fi 7?
- □ Confirm UK 6 GHz availability for the planned deployment type
- □ Agree replacement lifecycle and next scheduled network review
Wi-Fi 7 Makes Most Sense When
- The existing network is already due for replacement
- Wireless congestion is a genuine and measured problem
- Many modern Wi-Fi 7-capable devices are being deployed
- The network is expected to remain in service for several years
- Dense user environments exist — open-plan offices, high device counts
- Local data transfer speeds are important — creative, design or backup workloads
- Multi-gigabit broadband is available and the wired network can support it
- A new office or refurbishment is being planned
Keep Wi-Fi 6 When
- The existing network is performing well and not causing problems
- Most devices are Wi-Fi 5 or Wi-Fi 6 and will not be replaced soon
- Broadband is the actual performance bottleneck
- Coverage problems need better AP placement — not better hardware
- Existing switches only support 1 GbE and will not be replaced
- Local multi-gigabit file transfers are rare
- The current network has several years of useful life remaining
The best Wi-Fi upgrade is the one that fixes a real network limitation — not the one with the highest number on the box.
Plain-English Takeaway
Fix the real bottleneck before buying new access points. Check internet, switches, cabling, PoE and client devices first. A faster access point cannot compensate for a slow internet circuit, poor cabling or bad wireless design.
